Competition rules for 'Launch your design with Cheops'

By entering this competition, you agree to the following:

Ownership, original works

Participants certify that their submission is their original work, and that they have full legal right to use any portion that is not their original work.

ESA bears no responsibility for verifying the authenticity of the proposals.

The design will remain the property of the submitter and they will retain copyright/intellectual property rights, but by submitting a design, participants grant ESA and its partners permanent permission to publish the design via any channel at any time on a non-profit basis for the purpose of promoting the Cheops mission and this competition, with proper credit and without remuneration.

The participant’s name, home town, country of residence, nationality and social media names may also be published by ESA and republished by media. The designs will be credited as “ESA/Winner’s Name” wherever published.

How do I enter the competition?

To enter, submit your design using our online submission form. Upload your design as an electronic vector file (pdf format) with a size limit of 20 MB. If you are the winner or a runner-up you may be contacted to provide alternative file formats at a later date. You will also be asked to include your name, home town, country of residence,nationality,email addressand (optionally) any social media handles.

If you would like to share the motivation or inspiration for your design, you may provide a short text for this (maximum 250 words), but this is not mandatory. The jury will select the winner and runners up on the basis of the design alone.

Do not submit entries in any other way (for example, via one of the ESA blogs or any ESA social media channel), as these submissions will not be considered.

How many designs can I submit?

Only one entry per participant is permitted. If we receive multiple entries from the same participant, only the first entry will be considered.

How old do I need to be to enter?

There is no age restriction on the competition.

If you are under 18 years of age submission of a design constitutes confirmation that you have permission from your parent or legal guardian. If you are the winner or runner up we will check this prior to announcing the outcome of the competition.

If you are under the age of 18 and win the top prize, an adult must accompany you to the launch event. We will provide an additional grant to cover the cost of the travel and accommodation of the accompanying adult, along with additional access to the launch event, upon presentation of valid identification.

I do not live in Europe; can I still enter?

Yes. Anyone in the world can enter. However, the top prize of having your design on Cheops at launch, and being present for the launch event itself, can only be awarded to someone who is a citizen of, or a regular permanent resident of an ESA Member State or an ESA Cooperating State, listed here: http://www.esa.int/About_Us/Welcome_to_ESA/New_Member_States

You will still have the chance to be shortlisted and have your design exhibited during the launch event.

Does my entry need to be in English?

No, you are welcome to submit your entry in any official language of an ESA Member State. However, primary communication about the competition will be in English.

If I work for ESA or a Cheops mission partner agency, can I enter?

While they are welcome to make submissions, ESA staff members and contractors working on site at ESA establishments, and their immediate families residing with them, are not eligible to receive prizes. You are welcome to enter the competition, but will not have your design displayed as part of the launch event, or as the winning design on the spacecraft itself.

Will I get an email acknowledgement that my entry has been received?

Yes, you will receive an e-mail confirming that your entry has been received.

Are there any restrictions on the subject of the submission?

You can be as creative as you like as long as the design is inspired by the themes of the Cheops mission, which will observe planets in orbit around nearby stars. Submissions found to be inappropriate on religious, racial, gender, political or other grounds will be declared ineligible, without appeal or recourse, and will not be published.

Can I include text on the design?

There should be no text on the design.

What are the opening and closing dates of the competition?

Submissions can be received from 1 November 2017 until 17:00 GMT (18:00 CET) on 31 January 2018. [Update: The deadline to submit has been extended until 17:00 GMT (18:00 CET) on 7 February 2018.]

How will the main prizewinner be chosen and when will I know if I won?

All entries received before 17:00 GMT (18:00 CET) on 31 January 2018 [Update: extended to 17:00 GMT (18:00 CET) on 7 February 2018] will be considered for the main prize of having the design on the fairing of the Soyuz rocket that will launch the Cheops spacecraft, plus an invitation to the launch event.

The shortlist selection will be made by a jury, composed of representatives from the Cheops project, the Cheops consortium and the ESA communication team. The final decision will be taken by the management of the Cheops project. 

The winner will be notified by the end of February 2018. [Update: the winner will be notified in the second half of March 2018.]

The jury’s decision is final and no correspondence shall be entered into to discuss the final winners.

Where will my design be displayed?

Your design will be displayed on the fairing of the Soyuz rocket that will launch the Cheops spacecraft. The launch fairing is the iconic outer housing of a rocket that protects the spacecraft against the extreme pressure and heat experienced as it is launched through Earth’s atmosphere.

The dimensions of your design on the launch fairing will be 1 x 1 m.

Note that modifications to the main design may be made to comply with the ESA design guidelines. ESA reserves the right to withdraw the winning design if unforeseen circumstances arise.

Your design will be featured in photographs and video footage taken during the launch preparations and launch, and it will be published in ESA's online image galleries.

What happens to the fairing after it is jettisoned?

The fairing is jettisoned at an altitude of about 100 km and it falls back to Earth, landing in the ocean. It is unlikely to be retrieved.

If I win the prize of a trip to a launch event in Europe, how will it be organized and is there anything I need to consider?

The prize will be a grant of up to €1000 to cover travel to and from the location of the launch event and up to two nights of accommodation. You will be required to pay the costs, which will be reimbursed upon presentation of receipts. All other expenses (e.g. food, additional accommodation) are at your own expense.

It will be your responsibility to book and pay for the travel and accommodation in the first instance and to arrange visas and travel insurance as required. We will provide you guidance on where to stay and how to get to the launch event. You must be able to provide your bank account details to receive the grant.

Once the date of the launch event is known the winner will be contacted by an ESA representative with further details. If you are under 18 years of age you will need to be accompanied by an adult. ESA will provide an additional grant of the same value to cover the cost of the travel and accommodation of the accompanying adult, along with additional access to the launch event, upon presentation of valid identification.

No monetary substitution for the prize will be offered.

What does the prize of a trip to the launch event actually mean?

Your prize entitles you to join VIPs, media and other guests to follow the launch of Cheops at the official ESA launch event. The date and location of the launch event will only be known when the launch date has been confirmed.

Will the winner and runners up be announced on ESA channels?

The winner and runners up will be announced on the ESA website and via ESA’s social media channels, and will also be contacted directly using the email address provided with the submission.

Insurance, indemnification, best effort

Participants certify that, if they are invited to travel to the launch event, they will be fully covered by adequate health, travel, liability and other insurance. Participants agree that the European Space Agency is in no way liable for any claim for damages arising from any activities while at the launch event or in from any activity in connection with this campaign.
