#SolarOrbiter #SocialSpace: Terms, conditions and other small print

ESA's next social space event − #SolarOrbiter launch − will be held 5-6 February 2020 at ESA's ESOC mission control centre in Darmstadt, Germany, from where Solar Orbiter will be flown. 

To apply, be sure to include your name, social media name(s) and contact information, and a few words describing your motivation or interest in joining. All applications will be carefully reviewed and invitations will be issued to a select group of up to 40 participants.

Only eligible applicants will be considered (see below), and, due to space limitations, not all applicants may be invited. Applications must be submitted by 13 January 2020, 11:00 GMT (12:00 CET), and selected applicants will receive an email with a formal invitation within 14 January.

Applications are for one person only and are non-transferable. All applicants must be at least 18 years old on 5 February 2020.

While participation in the #SolarOrbiter SocialSpace event is free of charge, invitees are responsible for all personal expenses related to travel, accommodation and other costs in connection with this event. Catering on site and WiFi access will be provided.

The application period closes on 13 January at 11:00 GMT (12:00 CET).

Once all applications have been reviewed, an email with a formal invitation, confirmation information and additional instructions will be sent to those selected, and to those on the waiting list.

We expect to send notifications no later than 14 January. Please allow us time to process all the applications; we will keep you posted of progress via @social4space. Invitees must confirm acceptance by 19 January.

#SolarOrbiter SocialSpace is open to individuals who follow one or more of ESA’s social media accounts (complete listing here).

Applications from anyone are welcome. Applicants who are a citizen or permanent resident of any of these countries will be given priority: ESA Member State, ESA Associate Member State, ESA Cooperating State, EU Member State, ISS partner state, Argentina and Australia.

Note that travelling to Germany may require a visa.

By applying to take part in this social space, you agree that ESA and its subcontractors, partners, employees and agents are in no way liable for any claim for damages arising from any activity in connection with this event. This event will be conducted on a best-effort basis and may be modified, delayed or cancelled at any time for reasons beyond the control of the organisers. Participants are urged to make travel arrangements that can be changed or cancelled.

Certification

By applying to take part in the #Solar Orbiter SocialSpace, you certify that:

  • You are able to travel to Darmstadt, Germany, and remain present at the event for its duration on 5 and 6 February 2020.
  • You have government-issued photo ID (e.g. passport or national ID card).
  • You are or will be at least 18 years of age on 5 February 2020.
  • You have or will obtain any required visa to enter Germany.
  • You have or will obtain full health, travel, liability and any other necessary insurance.
  • You are the proper owner of the social media account(s) described in your application.
  • You understand and agree that all travel, accommodation and other costs are to be paid by you and that ESA will in no case accept any claim for excess travel costs due to cancellation or delay of this event.
  • You agree that ESA, its staff, subcontractors and partners are in no way liable for any claim for damages arising from your activity in connection with this event.
  • You understand that the event is being conducted on a ‘best-effort’ basis and may be modified, delayed or cancelled at any time due to factors beyond the organiser's control.
  • You understand that bad weather, technical problems or other factors may delay or cancel the launch of Solar Orbiter, and that you should ensure that your travel plans and all tickets or bookings are flexible or refundable.
  • You agree with the processing of your personal data for your registration for the Solar Orbiter social media event as it is described in the Consent & Privacy Notice for the Solar Orbiter social media event at ESOC.
  • You have read and agree to these general terms and conditions.

Venues, outline schedule

While the programme is still being finalised, it will run from approximately 09:00-16:30 CET on 5 February, and again from approximately 04:30-09:30 on 6 February (confirmed times will be sent to invitees later).

The event will include:

  • Welcome to the European Space Agency's mission control
  • A guided tour of the operations facility
  • Briefing by #SolarOrbiter scientist
  • A talk with the #SolarOrbiter Flight Director
  • Talks on space debris and space weather
  • A hands-on experience in space operations

Participants are responsible for their own travel and accommodation costs.
